Alec Harwood Coaching
Legal & Policies
Everything you need to know about how we work together, what to expect, and how your information is handled.
Section 1
Terms & Conditions
Bookings
All sessions are confirmed once a deposit equal to the full session fee has been received via bank transfer. Your session is not booked until payment has cleared. Details will be provided upon booking.
Packages
For multi-session packages, a deposit is required to secure your place with the remaining balance due before the programme begins.
Cancellations
Please give at least 24 hours notice if you need to cancel or reschedule. Cancellations made inside 24 hours will result in the loss of your deposit. This isn’t about being rigid, it’s about respecting both of our time.
Refunds
Refunds on unused sessions within a package are considered on a case by case basis. If circumstances change, get in touch and we’ll find a fair way forward.
Late Arrivals
Sessions will begin and end at the agreed time. If you arrive late the remaining time will still be used as well as possible, and the full session fee applies.
Section 2
Coaching Agreement
What coaching is
Coaching is a collaborative, forward-focused process designed to support your self-awareness, confidence, decision-making, and personal or professional growth. It involves honest conversation, challenge, and accountability and it only works when both of us show up fully.
What coaching isn’t
Coaching is not therapy, counselling, crisis support, medical treatment, or legal advice. If at any point it becomes clear that a different kind of support would serve you better, I’ll tell you honestly and help point you in the right direction. If you are currently receiving therapeutic or medical support, I’d encourage you to make your relevant professionals aware that you’re also working with a coach.
Your commitment as a client
You are responsible for your own decisions, actions, and wellbeing throughout our work together. Coaching works best when you engage openly and honestly, show up to agreed sessions, take ownership of your progress, and let me know if something isn’t working for you.
My commitment to you
I will show up prepared, present, and fully in your corner. I will ask the questions that need asking, create a space where you can think clearly and honestly, and work without judgement. I will never push my own agenda. The direction always comes from you. I commit to maintaining appropriate professional boundaries and to coaching you ethically and with care.
Professional boundaries
The coaching relationship is professional and built on trust, honesty, and mutual respect. It must remain so at all times. I reserve the right to pause or end coaching where boundaries are not respected or where coaching is no longer the appropriate form of support.
Inclusion and respect
Everyone who works with me is treated with dignity, fairness, and respect regardless of background, identity, or circumstance. Discriminatory, abusive, or inappropriate behaviour will result in coaching being ended immediately.
Confidentiality
Everything discussed in our sessions is strictly confidential. I will not share any information about you or our work together with any third party without your explicit consent. The only exceptions are where disclosure is required by law, or where there is a serious risk of harm to you or others. Any notes or records relating to our sessions are stored securely and handled in line with UK data protection law.
Sessions
Unless otherwise agreed, sessions will take place in person or via video call and will begin and end at the agreed time. Communication between sessions will be limited to scheduling or any agreed follow-up.
Section 3
Liability & Privacy
Limits of liability
Coaching is a process that requires your active participation, reflection, and personal responsibility. While I am committed to providing the highest quality support, I cannot and do not guarantee specific outcomes. Results depend on your own commitment, effort, and circumstances. Alec Harwood Life Performance Coaching is not liable for any decisions made as a result of our sessions.
Your health and wellbeing
By engaging in coaching you confirm that you are in a suitable state of physical and mental wellbeing to participate. If you have any concerns about this please speak to your GP before we begin. Coaching is not a medical service and does not replace professional medical or psychological care.
Your data and privacy
Any personal information you share including your name, contact details, and session content is held securely and treated with complete respect. Your data will never be sold or shared with third parties. In line with UK GDPR, you have the right to request access to, amendment of, or deletion of any personal data I hold about you. To make such a request please contact coaching@alecharwood.com.
